Donor Services Manager

Position: Donor Services Manager
Status: Full-time / Exempt / Salaried

Schedule: Shift – 10:00 am to 6:00 pm 5 days/week. Flex hours are expected in order to work evenings and/or weekends due to the nature of theatre schedules and event needs.

JOB SUMMARY:
The Donor Services Manager is responsible for overseeing the daily activities of American Stage’s Development Department with regards to campaigns, special events and relationship management. Reporting to the Director of Advancement, the position serves as the first point of contact for donation inquiries and provides a high-level of donor-centered customer service for American Stage donors and sponsors. The position is also responsible for ensuring a high standard of quality for all fundraising data, inclusive of database management, reporting and the analysis of donor data, in order to implement best practices related to stewardship.

KEY RESPONSIBILITIES:

  • Data Management:
  • Maintain the donor database, Spektrix, ensure accurate entry of donations and oversee donor correspondence and acknowledgement processes
  • Track American Stage’s contributed income by category and ensure all reporting and gift acknowledgement in organization publications is accurate
  • Donor Support:
  • Cultivate relationships with patrons, donors, sponsors, trustees and partners, and troubleshooting stakeholder concerns as needed
  • Oversee the fulfillment of benefit packages for sponsors and donors
  • Assist Director of Advancement with maintaining a pipeline and follow-up schedule for sponsor and donor communication
  • Provide assistance to the Board of Trustees, Advancement Committee, and other related committees as requested by the Director of Advancement
  • Reporting and Analysis:
  • Prepare donor prospecting research and strategy with Director of Advancement
  • Develop goals and strategies for all fundraising campaigns with Director of Advancement
  • Produce reports and documents
  • Provide grant support as needed to the Grants Manager
  • Events and Special Projects Support:
  • Create content for, and oversee the mailing of, fundraising appeals and related collateral (annual reports, newsletters, etc.)
  • Maintaining an internal Advancement Department calendar, inclusive of campaign, special event and relationship management needs
  • Communicate with the Marketing department to assist with maintaining accurate and consistent public messaging in regards to sponsorships, recognition opportunities, fundraising campaigns and special events
  • Collaborate with the Marketing department to assist with implementation of digital fundraising campaign initiatives across social media and email management platforms
  • Provide support for all special events from inception to execution to breakdown, inclusive of Fall Event, Park Opening Night, Corporate Nights, 3rd Party Events, etc.
  • Generate invitation lists, preparing and sending invitations, and overseeing RSVP lists for special events

SKILLS AND QUALITIES:

  • Strong organizational and time management skills
  • Excellent written and oral communication and interpersonal skills
  • Attention to detail, accuracy, and ability to manage database
  • Ability to analyze data, identify trends and develop solutions for donors and prospects
  • Ability to work effectively as a member of the team
  • Available for occasional work nights and weekends

EDUCATION AND EXPERIENCE:

  • Undergraduate degree in related field or 3 years of related experience
  • Understanding of Google Suite family of products
  • Proficiency of Spetrix, donor database software preferred

PHYSICAL DEMAND CLASSIFICATION: Medium (Occasionally lifts up to 25 pounds, helps with set up and breakdown of events both indoors and outdoors)
